Office Management/Administration

  • Provide office management and member services.
  • Provide mail, email and telephone services.
  • Maintain customer service phone line for member/registration inquiries.
  • Respond and/or route correspondence and telephone calls within 24 hours.
  • Maintain records, files and archives and inventory of contents.
  • Maintain specific working supplies and inventory.
  • Maintain a scheduling calendar of events.

Member Services

  • Maintain membership database.
  • Provide member communication services via email, mail and/or fax.
  • Respond to telephone and mail inquiries within 24 hours.
  • Maintain and update membership marketing materials.
  • Mail prospective member packets, including applications and personalized letters to all prospects.
  • Assist in the implementation of any membership promotion plans. 
  • Conduct member survey upon request and provide reports to appropriate committees and board

Board/Committee Support

  • Participate in Board meetings.
  • Prepare reports regarding association or chapter activities.
  • Attend Leadership Retreats upon request.
  • Maintain legal records including board minutes.
  • Communicate actions and activities of board related to legal status, insurance, etc.
  • Support the plans of the board, committees and task forces.
  • Support Sponsorship Committee by assisting in tracking and ensuring sponsor entitlements are fulfilled.
  • Provide guidance and input in Strategic Planning decisions.

Accounting/Financial Services

  • Establish and maintain a quality financial accounting system via QuickBooks.
  • Prepare, mail and collect income from meetings, advertising, sponsorship, etc.
  • Collect, record and deposit all cash and checks received by mail or at events.
  • Re-bill outstanding receivables.
  • Process payments via Visa/Master Card/American Express.
  • Monitor all requests for payment comparing them to budget.
  • Issue checks.
  • Maintain all financial records including invoices, receipts and reports.
  • Budget preparation assistance.
  • Prepare financial reports and statements.
  • File annual reports as required with state and IRS.
